Connect Your Everyday Email and Calendar to ChatGPT
In the first lesson, you learned how to direct ChatGPT before giving it access to more information. Now you are going to connect one supported everyday email and calendar account and prove that ChatGPT is working with the right information before you rely on it.
By the end of this lesson, you will connect a supported email/calendar account, verify that ChatGPT can retrieve information you already know is there, and use that information to prepare a simple priority review. You will not send, delete, move or change anything in the first workflow.
1. What “connected” actually means
A connection gives ChatGPT permission to work with information from a service you deliberately authorize. It does not mean ChatGPT suddenly knows everything in your account, and it does not mean every connected service supports the same actions.
What you can do depends on the app or plugin available to you, your ChatGPT plan and interface, the provider account you connect, the permissions you approve, and—if you are in a managed workspace—administrator settings.
Connected does not mean autonomous. More access can make a good workflow more useful. It does not remove your responsibility to check what was retrieved and approve consequential actions.
2. Before you connect anything
Confirm your ChatGPT account and workspace
Make sure you are in the ChatGPT account and workspace where you actually want this connection to live. If you use more than one account, do not assume the one currently open is the right one.
Choose an everyday account for this lesson
For the free exercise, use a personal or everyday account you are comfortable learning with. The business implementation comes later because customer, financial, contractual and professional communications require stronger operating rules.
Review the permissions
Read the provider authorization screen before approving it. The account you connect can only provide information and actions allowed by that account's existing permissions and the scopes you approve.
3. Find the connection in ChatGPT
Open the area where ChatGPT manages external apps. Depending on the version of ChatGPT you are using, you may see language such as Apps or Plugins.
- Open Apps or Plugins.
- Select the email/calendar provider you want to use.
- Choose Connect, Install plugin, or the setup option shown to you.
- Sign in to the intended provider account.
- Review the requested services and permissions.
- Complete the provider authorization.
If you accidentally connect the wrong account, stop and correct the connection rather than continuing the exercise with the wrong data.
4. Which email service are you using?
Google: Gmail + Google Calendar
If your ChatGPT account offers the relevant Google connection, choose the Google account you intend to use and review the Gmail/Calendar permissions presented during authorization. The exact capabilities available to you can vary by plan, workspace and permissions.
Microsoft: Outlook.com, Hotmail + Outlook Calendar
If you still use a Hotmail address, treat it as part of Microsoft's Outlook account ecosystem. The Outlook Email connection can work with supported Microsoft mailbox information, while Outlook Calendar can read and search calendar information. What is available still depends on your account permissions and ChatGPT settings.
Another email provider
Do not assume ChatGPT can directly connect to every mailbox. Look at the apps or plugins actually available in your ChatGPT account. If your provider is not supported, continue using the manual method from Lesson 1: paste or provide the relevant message or information yourself until a supported connection is available.
5. First prove the email connection works
Do not begin by asking ChatGPT to analyze your entire inbox. Start with something narrow that you can verify yourself.
First test: “Find my latest five emails from today or yesterday. Show me the sender, subject and time. Do not send, delete, move, mark or change anything.”
Open your normal email app and compare the result. You are testing the connection—not testing whether ChatGPT can sound helpful.
Checkpoint
- Are these real messages from the account you intended to connect?
- Are the sender, subject and time correct?
- Did ChatGPT omit anything obvious?
- Did it claim to see something you cannot verify?
If the result looks incomplete, narrow the request by date, sender or subject instead of assuming the connection sees everything perfectly.
6. Now review messages that may require attention
Once the basic retrieval test works, give the assistant a more useful job.
“Review messages from the last 24 hours that appear to require my attention. For each one, tell me who it is from, what they are asking, whether a deadline is explicitly stated, and the next action you recommend. Separate facts from your recommendation. Do not invent a deadline. Do not send, delete, move, mark or change anything.”
Notice the structure: ChatGPT retrieves information, identifies what appears important, and recommends. You decide.
7. Prove the calendar connection works
Use the same approach with your calendar. Start with information you can verify.
“Show me what is on my calendar today. For each event, give me the start time and title. If there is information available that suggests preparation, tell me what you see. Do not change, cancel or create anything.”
Compare the result with your normal calendar.
Checkpoint
- Are all important events present?
- Are the times correct?
- Did ChatGPT mistake an invitation or tentative event for a confirmed commitment?
- Did it clearly distinguish retrieved facts from its own preparation suggestions?
8. Your first connected Executive Assistant workflow
Now combine the information you just verified.
“Using the email items and calendar commitments you just reviewed, give me the three things that deserve my attention first. Separate what you know from the email/calendar from your recommendation. Explain your reasoning briefly. If important information is missing, ask me. Do not send messages or change my calendar.”
This is the beginning of the shift from “I have to explain everything happening today” to “help me understand what is happening today.”
9. What if ChatGPT gets something wrong?
Do not work around an incorrect retrieval as if it were harmless. Correct it.
“That is not correct. The event is at 3:00, not 2:00. Re-check the calendar information you have access to and update the recommendation. If you cannot verify it, say so.”
If the connection repeatedly retrieves the wrong account or fails to find information you know exists, review the connected account and permissions before continuing.
10. Privacy and permission habits worth learning now
- Connect only the account you intend to use.
- Review permissions instead of clicking through automatically.
- Do not assume a connection gives ChatGPT access to information your provider account itself cannot access.
- Use read/review workflows before enabling or approving more consequential actions.
- Disconnect an account you no longer want ChatGPT to access through that connection.
- For important personal, financial, legal or professional decisions, verify the underlying message, date or commitment yourself.
11. What success looks like
You have completed this lesson when:
- one supported everyday email/calendar account is connected;
- you verified email retrieval against messages you can see yourself;
- you verified today's calendar against the provider's calendar;
- you completed one combined priority review;
- you can tell the difference between retrieved facts and ChatGPT's recommendation; and
- you know how to stop and correct the workflow when information is missing or wrong.
The point of this lesson is not simply to make the connection. It is to learn whether you can trust the connection enough to use it as an input to your decisions.
