Freeze Your Canonical Project Version and Build the Release Package

Milestone 11 approved a tested version. Milestone 12 turns that approved work into one controlled, release-ready package containing the authoritative files, supporting assets, rights evidence, delivery instructions and final readiness record.

Boundary: this milestone does not publish or promote the project. It freezes the approved version and prepares everything required for a controlled release, submission, delivery or handoff.

1. Name the canonical version

Record the exact project title, version, approval date, owner and authoritative storage location. A canonical version is the one approved source that downstream artwork, metadata, exports, uploads, contracts and delivery files must reference.

2. Separate source, master and delivery files

File class Purpose
Source files Editable working files, sessions, manuscripts, project files, stems, design files or production documents.
Canonical master The approved version from which release or delivery copies are produced.
Delivery files Platform-, client- or audience-ready exports created to required technical specifications.
Evidence files Approvals, contributor records, licences, permissions, test results, change records and known limitations.

3. Build the asset inventory

List every required component: primary work, cover or visual assets, descriptions, credits, metadata, captions or transcripts, instructions, links, accessibility materials, promotional references and support information. Mark each item complete, missing, not required or awaiting verification.

4. Confirm rights and contributor evidence

Record who created or supplied each material element, the permission or licence relied upon, usage limits, attribution requirements and any unresolved concern. Do not treat AI output, purchased assets or collaborator contributions as automatically cleared.

5. Produce delivery-specific exports

Use the receiving platform, publisher, client, venue or distribution channel requirements. Record format, dimensions, duration, file size, naming, language, accessibility and upload limits. Validate the final export rather than assuming a successful export is correct.

6. Protect the package

Store the canonical master separately from working copies. Create a backup, checksum or comparison method where appropriate, preserve the approved version and restrict who can replace authoritative files.

7. Run the release-package gate

The gate asks whether the complete package is identifiable, complete, technically acceptable, rights-aware, recoverable and ready for the next milestone. Results are Ready, Ready with documented conditions, Return for correction, Pause for verification or Stop.

Completion standard

Milestone 12 is complete when one approved canonical version is frozen, all required release and delivery assets are inventoried, authoritative files and evidence are controlled, required exports have been checked, unresolved limitations are documented and the package has received a formal readiness decision.
