Organize Your AI Music Catalogue in 7 Days

Turn scattered songs and duplicate exports into a working catalogue with clear versions, statuses, files and priorities.

Start Day 1Member Validation Path

Bring these records from Milestones 1–3

  • Artist Identity Record and audience promise
  • Signature Sound System and variation boundaries
  • Brand language, disclosure and visual rules
  • Current folder and filename conventions
  • Every serious song, lyric, artwork and source record you can locate

Seven-day operating rule

Work with the catalogue you actually have. Do not improve every song during this milestone. Organize first, decide second, and reserve repair work for tracks that survive the comparison.

1

Inventory

Build the Master Catalogue Inventory

Search every serious storage location and record one row per song concept, not one row per export.

Required work

  • Working and approved title
  • Artist or project
  • Song ID or parent record
  • Current file or platform location
  • Date created
  • Primary creation tool
  • Current status
  • Notes and missing material
Required output: Master Catalogue Inventory

Give every active item one clear parent record and one next action where applicable.

Evidence check: Another person should be able to locate the current file and understand the record without asking what you meant.
2

Versions

Separate songs from versions

Create one parent song record and link all generations, remasters, instrumentals, clean edits, extensions and obsolete exports beneath it.

Required work

  • First generation
  • Selected generation
  • Lyric revision
  • Extended or remastered version
  • Instrumental or clean version
  • Alternate mix
  • Final candidate
  • Superseded or unidentified file
Required output: Song and Version Map

Identify the current version and explain why it has authority over the alternatives.

Evidence check: No version should remain active merely because its filename is confusing.
3

Fit

Assign artist and catalogue fit

Compare each song with the Artist Identity Record, Signature Sound System, Brand System and approved variation boundaries.

Decision labels

  • Core catalogue
  • Compatible variation
  • Revise for artist fit
  • Separate project
  • Separate artist
  • Hold
  • Archive
  • Reject
Required output: Catalogue Fit Record

Every song receives one decision and one evidence-based reason.

Evidence check: A strong song is not automatically a strong fit for this artist.
4

Status

Score development status

Separate creative promise from completion and give each active song one practical stage.

Stages

  • Idea
  • Draft
  • Strong generation
  • Selected version
  • Revision required
  • Production candidate
  • Final candidate
  • Released or archived

Score songwriting, vocal performance, arrangement, sonic condition, artist fit, emotional impact, distinctiveness and revision effort.

Required output: Song Development Status Board
Evidence check: Every status must lead to a specific next action rather than a vague intention to “finish it later.”
5

Files

Build the metadata and file record

Make each active song understandable without reopening several platforms or relying on memory.

Required fields

  • Title, artist and version
  • File name, format, location and duration
  • Lyric and explicit status
  • Genre, mood, tempo and key if known
  • Creation tool and source notes
  • Artwork and contributor status
  • Disclosure and release status
  • Audio, lyrics, artwork, prompts, sources, documentation and retired folders
Required output: Catalogue Metadata and File Record
Evidence check: This is an internal catalogue record, not a claim that distribution metadata has already been finalized.
6

Shortlist

Identify release candidates

Choose a limited group worth advancing. Do not label the entire active catalogue release-ready.

Recommended shortlist

  • One lead candidate
  • Up to two supporting candidates
  • Up to three development candidates
  • Catalogue holds
  • Tracks blocked by missing evidence or excessive revision

Judge artist fit, audience fit, quality, emotional clarity, differentiation, technical condition, required effort and source completeness.

Required output: Release Candidate Shortlist
Evidence check: The lead candidate must be selected because it is the strongest next move, not merely the newest song.
7

Approve

Approve the Working Catalogue

Consolidate the inventory, version map, fit decisions, development board, metadata record and candidate shortlist.

Required output: Working Release-Ready Catalogue Record

Include unresolved questions, next actions, version number, approval date and review date.

Evidence check: Every active song must have a parent record, a current status and a next action.

Free validation scorecard

Recommended approval: 35/50 or higher, with no category below 6.

Completion statement: I have organized my active songs, separated versions, assigned catalogue-fit decisions and identified which tracks are worth advancing into a rights and proof workflow.
