Shopify Policy Creation Guide: Why Getting This Right Matters

Build Trust, Get Approved, and Protect Your Business

Creating the right policies on your Shopify store is not just a box to check. It can be the difference between gaining platform approval, building customer trust, and avoiding legal issues—or being denied access to platforms like Pinterest and losing sales due to confused or frustrated customers.

This guide breaks down the essentials of Shopify policies and why you should not blindly rely on AI tools to handle this for you.

The Critical Policies You Need

When setting up your Shopify store, you need clear and accurate versions of the following:

  • Privacy Policy: Explains how you collect, use, and protect customer data.
  • Refund Policy: Outlines your return process and conditions under which refunds are issued.
  • Shipping Policy: Communicates estimated delivery times, costs, and shipping methods.
  • Terms of Service: Lays out the rules for using your website and buying your products.
  • Contact information and applicable legal notices: Give customers reliable ways to reach you and display any disclosures required for your store and markets.

These are not just formalities. Many platforms like Pinterest require clear, accessible policies to approve your store for sales integrations. If your policies are missing or incomplete, your application could be denied.

Why You Should Not Let AI Handle Your Policies Unchecked

AI tools can generate policy templates, and Shopify itself offers basic generators under Settings > Policies. However, this is only a starting point.

DO NOT copy-paste and assume it covers you.

Why?

  1. AI Tools Don’t Know Your Business: They generate generic content and often miss nuances specific to your products, location, or delivery practices.
  2. Legal Gaps: A template might not address local legal requirements or your unique refund terms.
  3. Platform Rejection: Platforms like Pinterest review your policies for clarity and completeness. Auto-generated, vague, or contradictory policies can lead to your store being rejected.

OCTOBER 9, 2026 UPDATE · SHOPIFY AUTOMATED POLICIES

Automated Policies vs. Manual Control: Which Should You Use?

Shopify announced on October 8 that merchants can automate return/refund, contact information, terms of service, shipping and legal-notice policies. Available automated policies can update as store settings change. To enable one, open Settings → Policies, choose the policy, turn on Use automated policy, and save. Availability can vary by policy and store.

Automation can reduce routine maintenance, but it does not replace your responsibility to check the text against the products you actually sell and the laws that apply. A creator selling editable PDFs, digital downloads, recurring training access, services and physical merchandise should examine each category separately. Do not promise refunds, delivery or cancellation terms that contradict checkout settings or local consumer law.

Five-minute policy review

  1. List each product type and every market you serve.
  2. Check how buyers receive digital files, access subscriptions, cancel recurring payments and request refunds.
  3. Compare those real workflows with each proposed automated or manual policy.
  4. Confirm the correct policies appear in your footer and at checkout where appropriate.
  5. Recheck after changes to products, markets, shipping or subscriptions.

If you need to edit an automated policy manually, check Shopify’s current Help Center instructions first; automated settings can restrict direct editing. Keep a record of what you changed and when.

How to Create Policies That Work

Choose one workflow per policy: automated when available and suitable, or manual when you need tailored wording. The review checklist below applies to both, but editing instructions differ.

Follow this approach to get policies right from the start:

1. Choose automated or manual control

  • Go to Shopify Admin > Settings > Policies.
  • If automation is available and appropriate, enable it using the steps above. Otherwise, use Shopify’s template as a draft and edit it manually. Do not assume either option covers every legal requirement or product type.

2. Review Every Line

  • DO NOT skip this step. Treat it like a legal document (because it is).
  • Read every line and ask: “Does this apply to my store?”
  • For manual policies, edit sections as needed. For automated policies, review the generated text and follow Shopify’s instructions for disabling automation before making manual changes. Check:
    • Refund timelines (e.g., 7 days vs. 30 days)
    • Shipping regions and times (e.g., domestic vs. international)
    • Customer data practices

3. Add Any Missing Details

  • Include your business email or contact form link.
  • Specify product-specific delivery, access, refund and cancellation conditions: digital downloads (delivery and refund terms), recurring subscriptions (billing and cancellation), services (scope and scheduling), and physical goods (shipping and returns).

4. Make Policies Accessible

  • Place links to your policies in your store footer (standard practice).
  • Confirm they are visible during checkout.

Real Risks If You Skip This

Ignoring or rushing this process can cause:

  • Pinterest Rejection: You may be blocked from linking your store if your policies are vague or incomplete.
  • Lost Customer Trust: Missing refund or shipping details lead to abandoned carts and refund disputes.
  • Legal Liability: If your policies fail to comply with regional regulations, you expose yourself to legal actions or fines.

Final Tip: Keep It Updated

Your business will evolve. Your policies should too. Review them every few months or whenever you:

  • Launch new products
  • Start shipping to new countries
  • Adjust refund or delivery times
